Election Services Project Manager

Position Overview

We are seeking a highly skilled and detail-oriented Election Services Project Manager (ESPM) to join our dedicated team.

Position Summary

The Election Services Project Manager (ESPM) serves as the primary point of contact for clients and coordinates effectively with internal teams, including Estimating, Sales, Prepress, Production, and Shipping, as well as external partners such as the United States Postal Service. This role oversees the full lifecycle of election-related print projects, from client onboarding and asset intake through production, distribution, and final delivery. The ESPM ensures all phases are executed with precision, on schedule, and in line with client specifications, maintaining high standards of accuracy, timeliness, and client satisfaction throughout the process.

You will support clients nationwide and help drive the success of critical election cycles. The ideal candidate excels in a fast-paced environment, is highly organized, and effectively manages multiple priorities with precision and professionalism.

Key Responsibilities

  • Serve as the main point of contact for assigned clients, managing communication and expectations across all phases of the project.
  • Collaborate with internal departments and external partners to translate client requirements into actionable production plans.
  • Oversee intake and verification of all election assets (e.g., data, ballots, envelopes, inserts, artwork, etc.).
  • Create and maintain accurate schedules and job tickets using internal systems and specialized project management software.
  • Ensure all materials (envelopes, inserts, stickers, etc.) are ordered, approved, and received on time.
  • Coordinate with the United States Postal Service (USPS) and leverage their tools and resources to ensure all mailed materials are fully compliant, deliverable, trackable, and properly documented.
  • Conduct regular client and internal meetings to review project status, flag risks, and align on timelines.
  • Participate in daily production and weekly election planning meetings.
  • Proactively identify and resolve issues to minimize delays and maintain quality standards.
  • Track and report project milestones, timelines, and budget adherence using internal tools and systems.
  • Provide post-election reporting and documentation for internal review and client reference.

Time Commitment

  • This is a results-driven position that requires flexibility, especially during peak election seasons.
  • Extended hours and weekend availability may be required during critical project windows.
  • Off-peak seasons offer increased schedule flexibility.

Required Qualifications

  • Minimum of 2 years of relevant experience in print and mail production, with a solid understanding of associated processes, materials, and technology.
  • Proficient in mail processing standards, postal procedures, regulations, and requirements, and all USPS tools and tracking systems, including the Business Customer Gateway, Informed Visibility and Seamless Acceptance Dashboard.
  • Experience in leading teams and managing workflows.
  • 4+ years of project management or client services experience, ideally with high-needs or deadline-driven accounts.
  • Strong organizational and time management skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office 365 and comfortable with cloud-based project management platforms. Experience in project management software is a plus.
  • Ability to manage multiple projects simultaneously under tight deadlines.
